GIZ Office Jakarta is urgently seeking a qualified candidate for the position of:
VACANCY > ADMINISTRATION OFFICER

A. Responsibilities

The incumbent is responsible for:
  • Providing of administrative support to the project/programme
  • Meeting the administrative requirements of the office independently with minimum input and supervision
  • Ensuring that financial and administrative requirements are met

Within this context, s/he fulfills the following tasks:

B. Tasks
Secretarial Services
  • Distribute letters/documents to GIZ Projects
  • Attend to incoming and outgoing correspondence, including facsimile, electronic mails and translation (if required) concerning the project/programme
  • Make print-out, photocopies, and scan documents if and when required
  • Ensure the availability of necessary office supplies for Secretarial use
  • Report damages to administration, organizes and follow-up the proper maintenance and repair of office equipment
Tasks in Assisting the Project/Programme Coordinator
  • Maintain and update the filing system for incoming and outgoing documents on a daily basis
  • Follow up urgent issues during the absence of the project/programme coordinator (under the instruction from project/programme coordinator)
  • Coordinate and monitor time schedule
  • Assist in preparing, compiling, and organizing information material for the project/programme e.g. meeting minutes, small article for the website
  • Assist in organizing international and national workshops and functions
  • Assist in organizing the schedule and appointments of internal and external visitors (project related)
  • Maintain correct up-to-date filing procedures (electronic and hardcopy) of the filing system in the GIZ office
  • Prepare travel cost reimbursement

C. Other Duties/Additional Tasks
  • Assist in and/or carrying out other office activities and other tasks as assigned
  • Undertake further job training related to his/her position and duties such as secretarial, computer, office, and language skills, if required.


D. Required Entry Qualifications and Competencies

Formal Education
  • Diploma in accounting, from secretarial school or similar
Professional Experience
  • At least 1 -3 years of work experience in a similar position
  • Fresh graduates who can meet the requirement are also welcomed to apply
Other Qualifications
  • Good working knowledge of computer programs (e.g. MS Office) and modern telecommunication systems (telephone, fax, e-mail, internet)
  • Language skills : English
